It’s about doing the right things consistently.

In this guide, I’ll show you exactly how to get more customers, increase your revenue, and build an HVAC company that practically grows itself. We’ll break down the three pillars of HVAC services: installations, repairs, and maintenance. The Three Pillars of HVAC

Every HVAC business boils down to three core pillars. Master these three, and growth becomes simple math. Let’s break each down clearly, so you can make strategic choices instead of guessing your way to success.

The three pillars of HVAC are Installations, Repairs, and Maintenance.

HVAC Installations: Big Margins, Big Opportunities

HVAC installations are your money-makers. They drive your highest-ticket sales, meaning you can stack profit quickly. The reason is simple: installing new HVAC systems has great margins, usually involves fewer callbacks, and offers chances for upgrades and cross-selling.

Tons of HVAC companies undervalue installations because they’re more work upfront. Big mistake. Double down here. Focus on clear pricing, simple financing options, and streamlined processes so customers feel confident investing in new systems. More installations equal more money in your pocket — fast.

If you are looking to grow your HVAC business, which you are because you are reading this, then you are probably aware that installations are the fastest path to being a 7-figure HVAC business. Later on in this guide, I actually provide actionable steps to get more of these highly profitable installation jobs.

HVAC Repairs: The Average Tuesday

Repairs won’t always give you huge payouts, but they are your bread and butter. They keep cash flowing steadily and predictably into your business. Customers usually call for repairs because they’re urgent. Something’s broken, and they need a solution right away.

Leverage that urgency. Be quick, efficient, and available. Speed matters here more than almost anything else. If you show up fast and deliver, you earn trust. Trust earns loyalty, and loyalty means more repeat business — and higher lifetime value (LTV) per customer.

Repairs aren’t sexy. They are not as profitable as installations. They pay the bills, though.

HVAC Maintenance: Recurring Revenue

Maintenance might seem boring, but it’s secretly one of your strongest plays. Why? Monthly Recurring Revenue (MRR). HVAC businesses that offer maintenance plans smooth out the peaks and valleys of busy and slow seasons. You don’t want unpredictable spikes — you want consistent money coming in every month.

Sell maintenance subscriptions aggressively. Bundle them with your installations and repairs. Make it easy to say yes. Maintenance customers stick around, pay predictably, and often upgrade to bigger services later on. The result? Stability, predictability, and long-term growth.

It may seem like I ordered these pillars from most important to least important. That’s not the case. A successful HVAC business executes on all 3 pillars with urgency.

HVAC Business Directories

Let’s cut through the noise here: not all online directories are created equal. Some are growth accelerators, some are a complete waste of time, and some are profit killers. Here’s how it breaks down clearly, so you know exactly where to put your focus — and where not to waste your time.

The three great business directories for HVAC companies are Google Business Profiles, Bing Places for Business, and Apple Maps.

Google Business Profile: Easy HVAC Leads

Google Business Profile (GBP) is free, powerful, and critical. It’s often the first thing local customers see when their HVAC breaks down and they need someone reliable. Get this right, and you’ll climb local search without spending a dime on ads. Focus on reviews, fast response times, and accurate service details. Google rewards active, responsive businesses. Don’t sleep on this.

ScaleSuite’s Google Business Profile for HVAC Verdict: 10/10. The Google Business Profile is definitely worth your time. If you nail it, your HVAC Business will be in a much better spot financially. See my full guide on setting up your Google Business Profile: HVAC Google Business Profile Setup

Bing Places for Business: Overlooked HVAC Leads

Google Business Profile (GBP) is free, powerful, and critical. It’s often the first thing local customers see when their HVAC breaks down and they need someone reliable. Get this right, and you’ll climb local search without spending a dime on ads. Focus on reviews, fast response times, and accurate service details. Google rewards active, responsive businesses. Don’t sleep on this.

The best thing about Bing Places for Business… It syncs up with your Google Business Profile. Meaning, you only need to update and upkeep your Google Business Profile for Bing Places to be updated!

ScaleSuite’s Bing Places for Business for HVAC Verdict: 8/10. Bing Places for Business is the sugar-on-top business directory strategy. Most users on the Internet use Google, but not all of them. Meaning, you are getting a small slice of the market if you scale well on Bing Places. Worth the ten minutes to set it up. Apple Maps: The Upcoming HVAC Directory

Apple Maps soon won’t be optional. Millions of people rely on iPhones daily to find local businesses, including HVAC services. The listings are simple, free, and critical for winning customers in the Apple ecosystem who need help fast.

Right now, Apple Maps is an inferior platform to Google Maps for business directories. Pretty much all marketers agree with this across the board. With that being said, it is completely free of cost. Hence, the fanatics with attention to detail will get this right. Why not?

Strict eligibility requirements: Apple Maps, as of April 2025, mandates that each listing has a staffed physical location with clear signage. Furthermore, the listing address must be clearly featured on your HVAC website with directions. Hence, if you are a service-area business, meaning you don’t feature your business’ location online, you will not be eligible. Lame, I know. Hopefully this changes in the future.

ScaleSuite’s Apple Maps for HVAC Verdict: 6/10. Apple Maps is the business directory you want to execute on last. At this point, it is a cherry-on-top HVAC directory. Soon, it will most likely compete with Google’s Business Profiles, but for now it is simply a checklist item for actually dedicated marketers. Find Other Profitable HVAC Directories

Directories like Yelp, Angie’s List, Nextdoor, and similar platforms aren’t your friends — they’re middlemen that profit off your work. They lock down providers, push paying companies to the top, and deliver a frustrating experience for everyone involved. It’s a pay-to-play game many struggle to win in the long term.

With that being said, some of these directories are a necessary evil. Some are just too dang useful to ignore.

A proper HVAC directory worth your time will receive organic traffic from keywords you are also targeting. I.e. “HVAC contractor,” “Air conditioning installation,” “Furnace repair,” “Dryer vent cleaning,” “Duct cleaning,” etc…

If a directory does not get organic traffic for keywords you are actively targeting, it is not worth exploring. Do a test. Google Search your favorite keywords in your city. Check for all 3 pillars. Check for all equipment: Air conditioners, Ductless air conditioners (mini splits), furnaces, heat pumps, etc. If the directory does not show up in the Top 20 in your city, don’t go near it. Nobody is finding it; hence, nobody is finding you.

HVAC Sales Methods

Your HVAC brand is either unforgettable, or it’s invisible. There’s no in-between. Most HVAC businesses fade into the background, leaving money on the table. But a memorable brand stays top of mind, generates referrals, and creates real trust. Here’s exactly how to make your brand stand out clearly and consistently, so you attract customers who stick around and spend more money.

HVAC Sales Methods by ScaleSuite

QR Codes on Air Conditioners and Heaters

Most HVAC companies never think about branding the equipment they install. Big missed opportunity. Every heat pump, mini split, or furnace you install should feature your branding clearly and prominently. Stick QR codes directly onto equipment — scannable links that immediately connect homeowners to your contact info, service offers, or simple booking pages.

Think of each piece of HVAC equipment as a permanent billboard on your customers’ properties. When something breaks, the homeowner knows exactly who to call — no searching necessary. Simple, effective, and zero additional effort.

I always come prepared to share our strategies. Gatekeeping is a waste of time. Check out my full guide on generating QR codes and getting them slapped onto equipment in no time. QR Codes For Repeat HVAC Customers.

HVAC Cross-Selling: Maximizing Lifetime Value (LTV)

The easiest customer to sell to is one you’ve already sold. Most HVAC businesses don’t leverage this enough. They leave easy money on the table because they’re afraid of sounding pushy. Here’s the truth: cross-selling is about solving problems your customers don’t yet know they have.

When you do a repair, mention maintenance plans to prevent future breakdowns. When performing an installation, recommend air duct cleaning or air quality services. These aren’t sales pitches — they’re genuine value-adds. Customers appreciate solutions that make their lives easier. More services sold means higher customer lifetime value (LTV) and predictable growth for your business.

Hiring More HVAC Staff

You can’t scale an HVAC business alone. Period. Eventually, your growth caps out unless you build a reliable team around you. The HVAC companies that grow fastest — and sustain that growth — are those that invest strategically in hiring and staffing. Here’s exactly how to do it right, so you can scale without breaking your business or your sanity.

Hiring HVAC staff

Hiring the Right HVAC Technicians and Support Staff

The best HVAC companies aren’t built on equipment — they’re built on people. Hire technicians who not only know HVAC but also care about the customer. Skills can be taught, but attitude can’t. If you compromise on people, you compromise your business.

Hire slow, fire fast. Offer incentives that align your technicians’ goals with yours: bonuses based on customer satisfaction, upsells, and positive reviews. This creates accountability and ensures your team is motivated to win.

It’s not easy to hire. Technicians want to work for top-tier companies with great upward career movement available. That’s where you have to make your company 1-of-1 instead of competing with the small shops in your neighborhood.

When customers leave reviews mentioning their technician by name, it improves your brand value more than any manual change ever could.

To Offer or Not To Offer 24/7 HVAC Services

Most HVAC companies keep comfortable hours — nine-to-five, Monday to Friday. This leaves huge profits untouched, especially during emergencies. Being available 24/7 isn’t just customer service; it’s a competitive advantage. Customers who need immediate help don’t shop around — they pick the first trustworthy provider available.

It sounds intimidating but think of it like this: offering after-hours service allows premium pricing, builds intense customer loyalty, and positions you as the reliable authority in your area. You don’t need a massive team overnight; start with an on-call rotation and scale as demand grows. The result is higher profit margins and unstoppable growth.

As a nice little bonus, emergency customers leave the most heartfelt reviews on your Google Business Profile listing. These reviews convert like crazy.

ScaleSuite verdict on offering 24/7 HVAC services: ABSOLUTELY. Especially if you are a young HVAC technician trying to get a cult-like following of loyal customers. It’s almost a rite of passage.

Streamlining HVAC Operations

Operations are your profit lever. Messy operations drain cash; smooth operations create cash. If you want to scale quickly without chaos, you need reliable systems. Let’s simplify this down to two key areas: your CRM and your phone system.

HVAC operations

Implementing an HVAC CRM

A CRM (Customer Relationship Management tool) is your lifeline to organized growth. It’s the one place to track every customer, every job, every lead, and every invoice. If your current CRM feels clunky — or if you’re still managing with pen and paper — it’s time for an upgrade.

Choose a CRM that automates appointment scheduling, sends automatic reminders, tracks job histories, and helps your team upsell without feeling pushy. A well-structured CRM makes growth predictable. More predictable = more profitable.

Don’t overthink it. We’ve seen six-figure HVAC companies use ScaleSuite CRM. We’ve seen others use Housecall Pro, ServiceTitan, or Jobber.

Choosing the Best Phone System for HVAC

Your phone system isn’t a commodity; it’s your direct sales line. Missed calls mean missed cash. Period. Don’t rely on a basic landline or cheap VoIP. Invest in a system that allows clear call tracking, recording, and analytics.

Pick a phone system that integrates directly into your CRM, so customer data is always accurate and accessible. Good data means smarter decisions. Smarter decisions equal more customers and fewer headaches.

Start with picking your CRM, then pick your phone system. Makes life a little easier.

Optimizing Your HVAC Website for Maximum Jobs

Your website isn’t a digital brochure — it’s a money-making machine. If your website isn’t consistently turning visitors into booked appointments, you’re leaving money on the table. Let’s dive deep into exactly what makes a website convert.

Enhancing Website User Experience

Customers don’t care how fancy your website looks. They care if it loads fast, makes sense, and solves their problem quickly. Cut the fluff. Clear navigation, fast load times, and obvious calls-to-action win every time. Less friction, more conversions. HVAC SEO: Ranking Higher For More Traffic

SEO isn’t complicated. It’s about knowing what your customers search and creating content that answers those searches better than anyone else. Do keyword research, optimize each page, and focus on local terms. The more visible you are, the more customers you get, period.

Improving HVAC Website Conversion Rates

Traffic without conversion is wasted effort. Your HVAC site must have clear offers, obvious booking buttons, and strong social proof. Testimonials and reviews aren’t nice-to-haves — they’re must-haves. Make it easy and obvious for people to book, call, or contact you right now.

Implementing Online HVAC Booking Systems

The easier you make it to book, the more bookings you’ll get. Don’t rely solely on phone calls. Use simple online booking forms and calendars integrated into your CRM. Less friction means more customers who say “yes” instantly, even after business hours.

Not every HVAC business wants to do this. That’s fine. You can follow a Request-An-Appointment model instead of allowing customers to book directly onto your calendar.

Boosting Engagement with Popup HVAC Offers

Popups aren’t annoying if they provide real value. Use timed or exit-intent popups offering discounts, seasonal specials, or maintenance checkups. These convert hesitant visitors into active customers. More offers = more opportunities to say yes.

What Your HVAC Business Should Do Today

Growing your HVAC business isn’t complicated. It’s about doing the right things consistently. You’ve got the blueprint now. Leverage the high margins of installations, build steady income through repairs, and create predictable growth through maintenance. Own your digital presence on platforms you control, stop relying on middlemen, build a team you trust, and streamline your operations.

Most importantly, act. Growth doesn’t happen by reading — it happens by doing. Implement these strategies now, not tomorrow. The HVAC market rewards speed and consistency. Move fast, move smart, and scale responsibly.

You’re Not Alone, Apply To Be A Partner
